Bookings and deposits

A booking is confirmed upon receipt of a 50% deposit. The balance is due 7 days before the event. Until a deposit is received, dates are not held. Perth Pop-Up Movies reserves the right to accept other bookings for the same date until a deposit is received and a booking confirmation is issued.

Cancellation by client

Cancellations made 7 or more days before the event: deposit refunded minus a $50 administration fee. Cancellations made within 7 days of the event: deposit is non-refundable. If the full amount has been paid and cancellation is within 7 days, the deposit portion is non-refundable and the balance is refunded.

Weather and rescheduling

Perth Pop-Up Movies monitors Bureau of Meteorology forecasts in the days before each event. If weather conditions make the event unsafe or unworkable (rain, extreme wind), Perth Pop-Up Movies will contact the client to arrange a free reschedule. Reschedules are offered to any available date within 12 months at no additional cost. If no suitable reschedule date can be agreed upon, a full refund will be provided. Light rain that does not affect equipment operation does not automatically qualify for a reschedule.

Client responsibilities

The client is responsible for:

  • Providing a clear, accessible setup area as discussed at time of booking
  • Ensuring a 240V 10-amp power point is available within 50 metres of the setup area (unless a generator or battery inverter has been arranged)
  • Ensuring the setup area is clear of obstacles, toys, and furniture before our arrival
  • Providing the agreed playback device (streaming device, DVD player, gaming console, or laptop)
  • Obtaining any council permits, film licences, or other approvals required for the event
  • Managing crowd behaviour and compliance with any permit conditions

Film licensing

Perth Pop-Up Movies does not provide film licences. For public screenings where tickets are sold or the public is invited, the client is responsible for obtaining a film licence from Roadshow PPL (ppl.roadshow.com.au) or the relevant rights holder. Perth Pop-Up Movies accepts no responsibility for unlicensed screenings.

Equipment and damage

Equipment remains the property of Perth Pop-Up Movies at all times. The client accepts responsibility for damage to equipment caused by misuse, failure to follow operator instructions, or events within the client's control (including but not limited to theft, vandalism, and weather events where the client declined a reschedule). Normal wear is not the client's responsibility. Damage will be assessed at replacement cost.

Dry hire terms

For equipment dry hire (client operates equipment without Perth Pop-Up Movies personnel), the client accepts full responsibility for the safe operation and return of all equipment. Equipment must be returned in the same condition as received. The client agrees to replace any damaged or missing equipment at full replacement cost.

Access and setup

Perth Pop-Up Movies requires vehicle access to within 30 metres of the setup location for 3m screen events, 20 metres for 5m screen events, and 15 metres for 8m screen events. If access is restricted on the day and not disclosed at booking, additional fees may apply. We are not responsible for delays caused by access restrictions not disclosed at the time of booking.

Insurance

Perth Pop-Up Movies holds $10 million public liability insurance. This does not extend to damage caused by the client, the client's guests, or third parties at the event. The client is responsible for ensuring their own event insurance is appropriate for their event type, particularly for large public events.

Limitation of liability

Perth Pop-Up Movies' liability is limited to the amount paid for the hire. We are not liable for consequential losses including lost revenue from ticket sales, reputational damage, or costs arising from event postponement.

Governing law

These terms are governed by the laws of Western Australia. Disputes will be subject to the jurisdiction of Western Australian courts.
